How to fill it

  1. Add your business details. Name, address, phone or email, and your GSTIN or VAT number if you are registered. Put your logo top-left if you have one.
  2. Number and date it. Use the next number in your sequence (for example INV-0012), today's date, and a due date, usually 7, 14 or 30 days out.
  3. Add the customer. Their business name and address, and their tax number if they are registered. This is what lets them claim the tax back.
  4. List what you did. One line per product or service with quantity, unit price and the line total. Add the tax rate per line if rates differ.
  5. Total it and say how to pay. Subtotal, discount if any, tax, total due. Add your bank details, UPI id or payment link, and a short thank-you note.

Frequently asked questions

What must an invoice contain?

A valid invoice shows the word "Invoice", a unique number, the issue date, your business name and contact details, the customer's name and address, a description of each product or service with quantity and price, the subtotal, any tax with its rate, the total due, the due date and how to pay. For tax invoices add your tax registration number (GSTIN, VAT number or similar).

What is the GST invoice format in India?

A GST tax invoice must show the supplier's name, address and GSTIN; a consecutive invoice number and date; the recipient's name, address and GSTIN if registered; the HSN or SAC code, description, quantity and taxable value of each item; the GST rate and tax amount, split as CGST and SGST for sales inside the state or IGST for sales to another state; the place of supply; and the signature of the supplier or an authorised person. The GST template above has a field for each.

What are the requirements for a UK VAT invoice?

A full VAT invoice needs a unique sequential number, your business name, address and VAT registration number, the invoice date and the time of supply if different, the customer's name and address, a description of the goods or services, the quantity, unit price and VAT rate for each line, the amount payable excluding VAT, the total VAT, and the total including VAT. For sales under £250 a simplified invoice with fewer fields is allowed.

What is the difference between an invoice and an estimate?

An estimate (or quote) goes out before the work and tells the customer what it will probably cost. It is not a request for payment. An invoice goes out after the work or delivery and asks for a fixed amount by a due date. Many businesses convert an accepted estimate into an invoice so the two match line by line.

How should I number my invoices?

Use one unbroken sequence with no gaps or repeats, such as INV-0001, INV-0002. A year or type prefix (2026-001, INV, EST, REC) keeps records tidy. Never reuse or delete a number. If an invoice is wrong, cancel it and issue a new one with the next number; tax authorities expect sequential numbering.
